Code Hack Ground Rules
All attendees, volunteers, staff, sponsors, speakers, partners, mentors, coaches, and judges at Code Hack will abide by the following Code Hack Ground Rules. These rules will be enforced by Code Hack organizers throughout the event.
Courage, Aspire, Respect, Empathy
Island Health is dedicated to providing a safe, creative experience for everyone, regardless of gender, identity, age, race, orientation, ability, size, ethnicity, religion, experience, or knowledge. We do not tolerate harassment in any form. Attendees found to be in violation of these ground rules will be ejected from Code Hack immediately. Code Hack volunteers will be on hand throughout Code Hack; look for the light blue t-shirt. Should you need support or assistance, you can find us in Woodward or the Resource Room in The Administration Building. You can also email any concerns to codehack@islandhealth.ca.
Scent Free Zone
Please respect that, to accommodate those with allergies and sensitivities, all Island Health facilities are scent free zones.
All Participants are Expected to:

Refrain from harassment, including verbal comments, intimidation, bullying, intentional disruption, unwanted physical contact, or unwelcome sexual attention.

Island Health has arranged event parking for Code Hack participants all weekend long at Royal Jubilee Hospital!
Registration & Main Event Space
The main Code Hack space is the Woodward Room in The Administration Building, at the Royal Jubilee Hospital.
Breakout Rooms & Food Court
Additional Code Hack spaces are located in the Patient Care Centre, conveniently situated by Good Earth Coffeehouse.

Online Code Hack Community
Two weeks prior to Code Hack, you’ll receive your invitation to join our online Code Hack community!
We’re going to hack 15 healthcare challenges at Code Hack. The challenges we’ll hack are selected through two different mechanisms but all start out as your challenges online.
Challenge Identification
Each of you will identify and submit a challenge you think we should tackle at Code Hack. We’ll send an invitation to set up an account on our Code Hack platform. Then, starting February 24, you will submit your challenge, view other challenges, and get to know your fellow Code Hackers. This is where the Code Hack community starts, so take some time to get in there and explore before we meet face to face. On March 2, you can start voting for your favourite challenges!
Every Code Hack participant is expected to propose one challenge. There is no need to jump to solutions so don’t worry about not having identified a “good enough” challenge. We encourage you to be creative when proposing challenges. Sell it! Let Code Hackers know why this is the challenge we should be hacking together. Remember that not everyone at Code Hack comes to this work from the same perspective so give us background information, any research or prior knowledge you have, your personal story of the challenge, and any other details you think are compelling.

We encourage participants to state their challenge questions as “How might we….” statements. Here’s a video to explain more:
Crowd Sourced Challenges
Once you’ve submitted your challenge to the Code Hack site, you get to cast your vote for the challenges we’ll hack. You’ve got three votes to cast and yes, you can vote for your own challenge! Voting closes at noon on Friday, March 7. The top six challenges voted and liked by the Code Hack community are guaranteed a spot in the Challenge Identification Session on Saturday. Keep checking the site over the weeks leading up to Code Hack to see which challenges are rising to the top!
Wild Card Challenges
The remaining nine challenges will be chosen by the Selection Committee and announced wildcard style during the Challenge Identification Session on Saturday. This means that everyone must come prepared to present!

Participant Roles
Ally
The green-clad experts within the system! These participants work in or support the health system, possessing in-depth knowledge of both its successes and challenges. Often staff members, they bring a unique perspective of Island Health, making them a vital part of your collaborative journey.
Builder
Wearing yellow, Builders are the architects of your digital and physical prototypes! Whether they're coders, developers, engineers, or carpenters, these participants understand the intricate process of bringing complex ideas to life. Get ready to witness the magic of creation.
Designer
The creative minds in purple – our Designers! Hailing from diverse backgrounds, including web, communication, industrial, interior, and service design, they understand the importance of putting people at the centre of their creations. Get ready for a splash of innovation and user-centric thinking from this vibrant group.
Participant T-Shirts
Each participant is designated a specific role and presented with a complimentary T-shirt uniquely tailored to both the colour and graphics associated with their assigned role. T-shirt sizes were selected upon registration for the event.

Frontline
In the blue corner, we have our Frontline Workers – the heartbeat of healthcare! From nurses to doctors, porters, and beyond, these participants have direct interactions with patients. Their real-world experience is invaluable and will undoubtedly contribute to the depth and authenticity of your projects.
Patient
The centre of our world in red – our Patients! With direct experience as care recipients or caregivers, they bring a unique perspective to the hackathon. Having faced the challenges within our healthcare system, they stand at the heart of innovation, ready to share their insights and contribute to creating impactful solutions.
Event Support Roles
Volunteer
The behind the scenes of our event – our dedicated Volunteers! Wearing light blue shirts, they ensure the seamless flow of your three-day experience. From managing resources to providing information and keeping you fueled with snacks, these individuals are the unsung heroes, making everything run like clockwork.
Mentor
Your hackathon companions on the move! With experience in both healthcare systems and Code Hack, these seasoned individuals will act as your guide throughout the event. Dressed in sage green, expect them to hop between tables, offering insights, encouragement, and a wealth of ideas to elevate your project.

Judge
Handpicked for their diverse expertise, ranging from tech design to frontline healthcare, these professionals are here to ask the tough questions that will challenge and inspire your project teams. Get ready to impress them with your innovation, as they'll be evaluating each project based on a set of carefully crafted criteria.

Logistics
Snacks and beverages are available during the opening ceremony. Coffee will be on hand constantly, so bring your own travel mug and a water bottle too. If you’re a hungry hacker, you may want to bring food with you or take advantage of some of the food options here on campus. Parking has been arranged for Code Hack Participants. Use the parking map in this package to find your spot.
Free Wi-Fi is available throughout the event on the “IslandHealthGuestWi-Fi” network.
Your Job
Register, relax, and enjoy! This is your time to make real-world connections with the people you’ve met online, hear from our sponsors, and get a sense of the spaces you’ll be using during the hack.

Accessibility
The hospital is wheelchair accessible. The opening and closing ceremonies use large visual presentations and microphones, but there is no closed captioning service. Please let us know your individual needs and we will do our best to create a welcoming and comfortable experience.

Challenge Identification & Team Formation
Registration starts again at 08:00 for those unable to attend the Friday evening opening ceremonies and registration.
Activities
At 09:00, Code Hack begins with opening remarks and the Challenge Identification session. The top six up-voted challenges will present first. Then the seven wild-card presentations will happen. Presenters will have 60 seconds to explain their challenge. At the end of the challenge session, we’ll review the opportunities together so that everyone is clear on the challenges we’ll be hacking. When presentations ends, we’ll start Rapid Team Formation. We’ll ask our presenters to stand around the room. The remaining Code Hackers will be asked to stand with the challenge you’re most interested in hacking. You’ll have five minutes to choose your challenge.
It’s important that all teams have representatives from all of our hacker categories: Patient, Frontline, Builder, Designer, and Ally. Each category is represented by a different colour T-shirt. Once everyone has chosen a challenge, we’ll see if each team has a good distribution of roles. If not, we may ask you to join another team. It’s important to remember that you may not end up on your team of choice.
Logistics
Registration is required! Come sign in, complete the Participant Agreement, and get your T-shirt. Coffee, tea, and muffins will be available. If you’re a hungry hacker, pack some morning snacks. Come ready to present. Any challenge can be called up during the wild-card style portion of Challenge Identification.
Saturday, 8:00–10:00

Wear your Code Hack T-shirt. Your T-shirt is an important part of Rapid Team Formation. Be flexible. Your challenge may not be chosen as one of the challenges we’ll hack together and you may not end up on your preferred hack team. Code Hack is about the experience of working together in new and innovative ways to solve healthcare challenges. Every challenge is a hackable challenge and every team is an excellent team!

The Hack!
This is where Code Hack truly begins! You’ll gather your team, design creative prototypes, and present them to the judges!
Activities
There are a wide range of resources available to you during Code Hack:
Spaces:
your hacker team will have a dedicated table in Woodward at The Administration Building with a table, chairs, and power supply. Your team table will be assigned to your team after Rapid Team Formation.
Laptops:
please bring your own laptop and smartphone to Code Hack.
Judging Criteria:
you’ll find the judging criteria in this package. Please ensure you review the criteria as soon as you begin tackling your challenge. Your success in the Prototype Pitches will rest on your understanding of how the judges will assess your prototype so please take the time to review this section carefully.
Digital Resources:
we will provide you with a prototype pitch deck template for your pitch to the judges. It is there to support you but you do not have to use it. We’ve also created a list of Additional Resources on page 16.
Prototyping materials and 3D printers:
you will have access to a wide range of materials and a 3D printer during Code Hack. You’ll find these resources directly across from Woodward in The Administration Building in the Code Hack Resource Room. If you’re missing something you need, let us know! You’ll have access to a maximum of $50 to purchase additional supplies if they are not available in the Resource Room.
Coaching:
from 13:00 to 17:00, you’ll have access to several coaches. Each coach is available for 25 minute sessions with your team. Coaches provide you with an invaluable opportunity to test your prototype with real-world experts. They’ll also help you meet your awards criteria as part of stakeholder engagement.
Mentors:
will circulate from 13:00 to 17:00, offering insight, ideas, and real-world tips as you ideate and develop your prototype. No need to find them! They’ll come to you in Woodward or to your breakout room.
Theatre:
the theatre in the Patient Care Centre is available to teams for prototype pitch practice. You can access this resource via the sign up sheet in the resource room. Located in S169 in the PCC building, the theatre will be open until 08:00 on Sunday morning. Use this space to get your prototype pitch ready for the judges.

SIM Lab:
the Royal Jubilee Hospital is home to the Centre for Interprofessional Simulation and Learning. As a Code Hacker, you’ll have access to this world-class resource. You can bring your prototype in to the SIM Lab to practice how it might function on a patient, test it with existing equipment, practice a process or service design flow, or any other real-time application you can think of. The SIM Lab is located in the Coronation Annex. Just find a Code Hack team member and we’ll get you there.
Logisitics
Lunch and dinner are provided on Saturday. Lunch is at 12:00 and dinner is at 17:00. Gluten-free, vegan, and vegetarian options are available. Hot breakfast is available on Sunday between 09:00 and 10:30. Pop in for breakfast anytime while the preliminary judging round is underway. Snacks and drinks will be available 24/7 in Woodward. Use your maps but don’t worry! All Code Hack spaces are clearly marked and organizers are on hand for the full duration of Code Hack to help.
Emergencies
Medical and emergency assistance is available by dialling 222 from any Island Health phone. You can also call the Code Hack line at 250‑213‑5500 for assistance, day or night.

Prototype Pitches & Judging
You must submit your prototype pitch slide decks by 09:00 sharp.
No late presentations will be allowed. Upload your presentation to the cloud link assigned to you and submit it to the Code Hack team in the Resource Room. Since any team could become a finalist, please ensure you have pitches ready for both the preliminary and final rounds.
Got your presentation in? Great. Now check the Preliminary Prototype Pitch Schedule to see when and where your team will be pitching. Schedules will be posted outside Woodward by 08:00.
Prototype Pitches are divided into two rounds.
Round 1: The Preliminaries
The Preliminary Round of prototype pitches starts at 09:15. Half of our teams will pitch in Woodward and half will pitch in S169. Two judging panels will run simultaneously for the preliminary round.
Each team has four minutes to pitch. The judges then have three minutes for questions. No team will be allowed to exceed the time limit.
Each judging panel will select two teams to move on to the finals for a total of four finalist teams.
Sunday, 9:00–12:15

Round 2: The Finals
The finals will take place in Woodward. All Code Hackers are asked to reassemble in Woodward at 10:45 sharp. Finalists will not be announced in advance.
Finalist teams will be called up in the moment to pitch. Finalists have seven minutes to pitch. The judges then have eight minutes for questions.

Use the Code Hack pitch deck template to organize your presentation. Review the judging criteria to see what the judges are looking for. Sell us on your prototype!
Your Job
Win, eat a delicious hot breakfast and cast your vote for People’s Choice Award after the Finalists pitch!

Closing Remarks & Award Ceremony
Awards will be announced and winning teams will be invited up to receive their awards from our sponsors.

All of these winning teams will be invited to receive support from our Innovation Lab.
Once winning teams are announced, we ask that you take a few minutes to complete the Code Hack Participant Survey. This is how we get better at creating an amazing Code Hack experience for you. You’ll find the survey in paper form at the back of Woodward. A digital version will also be circulated within one week of Code Hack.

Value Proposition
Once you understand your challenge’s pain points, how are you going to map that to your prototype and ensure your prototype gets to the right people? The Business Canvas Model helps you to determine the desirability, viability and feasibility of your prototype so that you can answer questions like: Do patients or care provides want it? Can you deliver it? What is it worth?

Assessment Criteria
All scores are on a 5 point scale. No decimals or half points will be given.
Scoring System
1 = Absent
2 = Lacks key elements or insufficiently explored
3 = Satisfactory
4 = Above what is expected
5 = Outstanding
1. Challenge Understanding
Is the challenge both well understood and well communicated? Is the root cause identified? How well does the team understand the needs of their end user/customer?
2. Value Proposition
Is the value proposition well defined and articulated? What is the potential impact of the prototype? Does the prototype demonstrate an understanding of stakeholder and system needs?
3. Innovation
Has the team done an environmental survey to determine what solutions already exist? How innovative is the prototype in relation to what already exists? Has the team identified the critical function that their prototype provides and attempted (or planned) to prototype? How innovative is the approach or technology used?
4. Feasibility
Is this a prototype that can be implemented? Can the prototype spread and scale? Are the necessary steps and challenges to implementation identified and have steps been taken to address or mitigate them?

5. Collaboration
Is the full spectrum of the team’s multidisciplinary expertise on display in the prototype? Has the team identified where additional expertise might enhance their prototype? Is the team cohesive, demonstrating respectful collaboration and Code Hack spirit?
6. Presentation
How polished and articulate is the presentation? Did all team members participate? Did the prototype pitch fit in the time allotted? Did the presentation wow you?
7. Challenge Complexity
How difficult is the challenge being addressed? Try to differentiate between a flashy solution to an easy challenge and a workable solution to a complex challenge. How meaningfully did the team engage with complexity? Do they provide a prototype that attends to the volatile, uncertain, complex, and ambiguous landscape of health care?
